Qualicon doesn’t happen overnight. Behind every talk, every speaker, and every conversation at the event sits a full year of planning, curating, and building. Here’s what that year actually looks like, from the moment one Qualicon wraps to the moment the next one begins.
May: Qualicon takes place
Qualicon runs online over two days, hosted in the middle to end of May. This is the moment all the planning comes together. Speakers deliver their talks, attendees connect from around the world, and the global game quality community gets a chance to learn, share, and celebrate the craft together.
June: Post-Event review
Once the event wraps, the real learning begins. The content committee hold a major review meeting to go through feedback, and run post-event surveys for both attendees and speakers. We look closely at the numbers, track changes in key metrics, and pull out the comments that matter most. Every insight from this stage directly shapes what happens next.
September: Kickoff (This is where we are right now)
September marks the start of a new Qualicon cycle. We hold our kickoff meeting, where we agree on submission timelines and together with the content committee, settle on the key themes for the year ahead. We also run a survey, asking the community directly what topics feel most relevant in the industry right now and what we should be covering next.
This is the stage we’re in today, have your say for Qualicon 2027 themes. The themes we choose here shape everything that follows, from the call for submissions to the final program. That’s exactly why your input matters so much at this point in the process.
October: Review
Survey results come back in, and we start turning that feedback into action. This is when we begin building the call for submissions and deciding how many talks to include per topic, along with the experience level each talk should target.
November: Call for submissions
The call for submissions officially goes out. This stage runs over two to three months, giving speakers time to put together strong, thoughtful proposals.
January: Creating the program
The content committee reviews every submission and starts curating the year’s program. The goal is a well-balanced, polished lineup that reflects the breadth of the craft, from foundational topics to advanced, specialized talks.
February: Speaker confirmation
In February, we confirm the year’s speaker lineup. Once confirmed, we conduct speaker kick off calls and begin the onboarding process including mentor pairing, getting everyone ready and aligned ahead of the event.
March: Platform build & asset creation
In March, we start to build out the platform, build the assets and create social cards used to promote the event across our channels.
April: Mentoring & final checks
April is when the platform for Qualicon really comes together. We begin speaker mentoring, pairing each speaker with a mentor to help sharpen their talk as well as conducting dry runs. Towards the end of April, we run final panel prep and tech checks and have a platform review and sign off.
Back to May: Qualicon 2027
In early May, we’re finishing off some final checks including facilitating a platform orientation which is recorded and sent to all attendees. Attendees then block out their diaries and plan which sessions they will attend. And then, the cycle closes. Talks are ready, speakers are prepared, and Qualicon happens all over again, bringing the same magic every year!
